Candidates in supply chain, management, logistics and applicable engineering fields, especially those with extreme attention to detail and great customer service skills alongside an interest in controls work or in IT work, would fit the role well. The intent of a purchasing agent at HEI is to support our talented staff of engineers and technicians at HEI in the exciting field of automation work while making sure the seamless transaction of parts in and out is executed flawlessly to serve our customers well.

      Purchasing Agent

      The Procurement Specialist (PS) is responsible for the procurement process for goods and services required by HEI. This role encompasses sourcing suppliers, negotiating contracts, and ensuring compliance with company policies and industry best practice while upholding our core values. A PS is involved in all requirements of the ordering process including quotes, verification, preparing purchase orders, receipt, shipment and payment. The PS is responsible for optimizing processes and systems. The PS must be able to build relationships with internal and external customers, and work across all teams. The PS must have a strong understanding of drawings and Bill of Materials (BOM) accurately convert into orders. PS is responsible for scheduling deliveries based on production forecasts, managing material substitutions, and ensuring proper storage. The PS demonstrates financial acumen and utilizes accounting systems. The PS supports safety efforts and needs including but not limited to auditing equipment, maintenance, and purchasing. Perform other miscellaneous duties as assigned and support organizational goals.  

       KEY RESPONSIBILITIES INCLUDE:

      • Procurement, Pricing & Planning: including but not limited to preparing quotes and work orders, generating purchase orders and issuing parts. PS coordinates purchasing schedules for projects, inventory, and projected needs with Process Manager, engineering and shop teams. PS is responsible for maintaining inventory supply for both external and internal supplies, (i.e. shop consumables and internal supplies), and conducts cycle counts when needed. PS oversees location on inventory. PS will work across all teams and vendors in obtaining and maintaining accurate part information including pricing and availability.
      • Shipping & Receiving: conducts/coordinates all shipping and receiving activities. Verification of receipt of items; resolves shipments issues/errors with supplies/vendors and maintain and store as necessary. Schedule and assists in all incoming and outgoing shipments and tracking.
      • Equipment & Maintenance Tracking: orders and tracks equipment and supplies, ensures quality assurance, includes instruments, tools, supplies, and other items necessary for a functioning production team. PS manages all equipment check out. PS is familiar with all safety requirements and coordinates and orders needed safety equipment. PS supports Process Manager on coordination on repairs and maintenance of HEI equipment.
      • Vendor Relationships: should maintain positive relationships will vendors to ensure reliable and high-quality procurement. PS evaluates and negotiates contracts with vendors. Work with vendors/suppliers to gain knowledge in parts, ordering, opportunities and changes in industry. PS will work with internal teams on vendor relationships in regard to planning and pricing.

      • External BD Support: involved in reviewing project plans, drawings, and specifications to initiate quotes and estimates. PS will communicate with relevant stakeholders to recommend sourcing of products and parts as well as suggest suitable substitutions. This role requires close collaboration across teams to align procurement strategies and organization goals.

      • Record Keeping & Communication - maintains all necessary documents, databases and necessary spreadsheets in regard to procurement and inventory. Work with vendors to maintain all manufacture discounts, contacts, addresses, warranty for both internal and external projects. Communicate to both internal and external customers in relation to procurement. PS stays up to date on industry trends and new products and communicates to stakeholders.

      • Ability to set up computers and follow protocols

      • An associates or bachelors degree in business with emphasis on supply chain management and familiarity with controls, computer programming, and/or the demonstrated ability to work with technicians and engineers.
      • Troubleshooting skills in contract management and some understanding or experience with safety standards in regulated industries and PPE.
